As an office manager, you will be the first point of contact for our company. You will greet guests and visitors, answer incoming calls, and provide general administrative support across the organization. Your role is crucial in creating a positive first impression for our clients and guests. Energy Fuels is an Equal Opportunity Employer, including disability/vets.
ESSENTIAL DUTIES/RESPONSIBILITIES:
- Welcome guests in a professional and friendly manner. Direct visitors to the appropriate person or department.
- Manage a multi-line phone system, answer incoming calls, take messages, and redirect calls to the appropriate individuals.
- Organize public outreach participation and community communications. This includes organizing and facilitating site tours, attending local meetings and giving presentations.
- Assist the site manager in general administrative activities.
- Sort and distribute incoming mail and prepare outgoing mail for delivery. Manage email correspondence and respond to inquiries promptly.
- Ensure the reception area is clean, tidy, and presentable at all times. Arrange reading materials and refreshments for visitors.
- Assist in scheduling appointments and meetings. Coordinate conference room bookings and manage calendars for meeting spaces.
- Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents.
- Monitor and replenish office supplies as needed. Coordinate with vendors for office equipment maintenance and repairs.
- Respond to inquiries from clients, employees, and the public. Provide information about the company and its services in a professional manner.
- Monitor access to the building and ensure security protocols are followed. Issue visitor badges and escort guests as needed.
- Support various departments with special projects as assigned. Collaborate with team members to achieve common goals.
MINIMUM QUALIFICATIONS/EDUCATION:
- High school diploma or equivalent; additional certification in Office Management is a plus.
- Proven experience as a receptionist or in a similar role.
- Excellent communication and interpersonal skills.
- Proficient in Microsoft Office suite (Word, Excel, Outlook).
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Professional appearance and demeanor.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with office equipment such as fax machines and printers.
- Ability to work independently with minimal supervision.
PHYSICAL/SENSORY DEMANDS:
- Sitting for an extended period of time.
- Occasionally lifts up to 25lbs.
